Who we are

The Volleyball Institute (“TVI,” “we”) is operated by Hurlburt, LLC, an Illinois limited liability company doing business as The Volleyball Institute. Our business address is 2501 Chatham Road, Suite R, Springfield, IL 62704.

This policy covers thevolleyballinstitute.com and the forms on it. It doesn’t cover our booking page, which SportsEngine Motion runs. Bookings, accounts and payments happen there, under SportsEngine Motion’s own privacy policy.

What we collect

We collect only what you type into a form, or send us by email, phone or text.

Families

  • Our contact form asks what you need, your town or ZIP code, the training you’re interested in, your athlete’s age and experience, an optional message, and your name, email and phone (phone is optional).
  • Our training request form asks your athlete’s age and experience, the training you’re interested in, your closest Hub and locations or town, a Trainer you’d like to work with (optional), an optional message, and your name, email and phone (phone is optional).
  • A Private Training application on some Trainer pages asks for the athlete’s full name, a parent or guardian’s email, your town, the athlete’s volleyball history and goals, and an optional phone.

People who want to work with us

  • Become a Trainer asks for your Hub, name, email, phone, town, volleyball background, what you’d like to coach and how you heard about us.
  • The Hub Leader request asks for your name, email, phone, city and state, your connection to volleyball and how you heard about us.
  • The Team Camp request asks for your name, your role, email, phone (optional), school or team name, town, closest Hub, which teams, about how many athletes (optional), your preferred format and dates (optional), whether you have a gym, and anything else you’d like to add.

New team members

Our onboarding page, for people TVI has hired, asks for your role, Hub, name, email, phone, home address, birthday, shirt size, position, who referred you, and a Zelle phone or email for pay. It isn’t meant for families.

Messages

If you email, call or text us, we keep that conversation so we can help you and follow up.

What happens when you visit

Our host, Cloudflare, receives basic technical details whenever a page loads, such as your IP address, browser type and the page you asked for. That’s how the page reaches you.

We count visits with Cloudflare Web Analytics. It uses no cookies, doesn’t identify you or follow you to other sites, and never sees what you type into a form.

We also count the ZIP codes and towns typed into our location search, with the date and the Hub it matched and nothing that identifies you, so we can see where families are looking for training.

The site’s typefaces come from our own host too, so no font service sees your visit.

This site sets no cookies. To save you typing things again, your browser keeps a few choices on this device only: the Hub you picked, the last ZIP code or town you searched, your filters on Our People, the last Trainer listing you opened and, if you save one, your Trainer and their town. If you tap “Use my location”, your rough location is kept only until you close the tab. We can’t see any of this, and clearing this site’s data in your browser removes it. The site has no advertising or social-media trackers, no accounts, no payments and no ads. Links to Instagram, Facebook, YouTube and our booking page are plain links: those sites see you only if you tap through. If we ever add a tool that uses cookies or tracks visits in a new way, we’ll update this page first.

How we use it

To answer you and match your athlete with the right Hub, training and Trainer. We reply within one business day, and you may get an automatic note that we received your message.

To review Trainer applications, Team Camp requests and Hub Leader requests, and to get back to you about them.

To set up new team members: pay, the onboarding checklist, the uniform shirt and our staff roster. After you send the onboarding form, we email you a welcome note with your next steps.

To improve our customer service, by reviewing past messages that we keep securely.

Sending a form doesn’t sign you up for a newsletter. The one exception is a Trainer’s email list, which you join only by choosing to on that Trainer’s page; it’s used for that Trainer’s openings and new programs, and nothing else. We never use what you type for advertising.

Who sees it, and who we share it with

Inside TVI, each form goes only to the people who handle it: family messages to TVI Customer Service, Trainer applications and Team Camp requests to the Hub Leader, Hub Leader requests to TVI’s leadership, and onboarding forms to our payroll and HR team with the Hub Leader copied.

We use a few trusted providers to run things on our behalf. Google Workspace runs our email, the script that delivers our forms, our customer-service records and our staff roster. Cloudflare hosts this site and counts visits. SportsEngine Motion runs our booking page once you go there. New team members complete their Background Check, Abuse Prevention Training, W-9 and contract in Ankored, under Ankored’s own terms; this site links to Ankored but sends it nothing.

We don’t sell personal information, and we don’t share it with anyone for their own marketing.

We may share information when the law requires it, or when it’s needed to keep an athlete or anyone else safe. If TVI’s business is ever sold or reorganized, the information would move with it and stay covered by this policy.

Children

Our athletes are children and teens, but this site is for parents, guardians and adults. Forms that ask about an athlete, such as their age, name or volleyball history, are meant to be filled in by a parent or guardian.

We use an athlete’s details only to find the right training and to talk with their family. We don’t knowingly collect information directly from children under 13. If you think a child under 13 has sent us information, email [email protected] and we’ll delete it.

Photos and video

Families sign a Media and Likeness Release when they book on our booking page. To ask for an exemption, email us and a person will decide.

How long we keep it

We keep contact-form submissions and customer messages for two years, then delete them. Trainer applications and Hub Leader requests follow the same two-year rule.

Onboarding details stay on our staff roster while you work with TVI, and afterward for as long as tax and employment records must be kept.

Keeping it safe

Our pages and forms travel over an encrypted connection (HTTPS), and we rely on established providers, Cloudflare and Google, to host the site and our email. No online system is completely secure, so please don’t send card numbers, passwords or medical details through our forms.

Your choices

You can ask us to show you what we hold about you, correct it or delete it. You can also ask us to stop marketing email; scheduling and billing messages will still reach you. Email [email protected]. We’ll reply within one business day.

We may need to confirm it’s you before we act, and we may keep what the law requires us to keep, such as tax records. Information in your booking account lives with SportsEngine Motion; we’ll help you with that too.

Changes

If this policy changes, we’ll post the new version here with a new date.
